What are Access Lists?
Access Lists are a way to combine different types of tickets (from different events or not) from the same organizer into a digital list. This feature is extremely useful for managing the scanning of tickets that need to be validated more than once, whether at events or different entrances.
Here are some usage examples:
⏳ Events lasting multiple days: Create an access list that encompasses all tickets for each day of the festival to manage participants with valid tickets for one or more days.
🔢 Passport tickets valid for more than one day of an event: Use access lists to rescan tickets sold as passports, which may cover previous events or multiple days of a festival.
🚪 Management of different entrances: Create an access list for each event entrance or team to optimize the entry process.
Access lists are created by our support team, so whenever you need to create one, contact us through this link HERE, providing the following tickets and tiers that should be part of the access list.
If there is any new ticket is created for the event, after this contact, you should let the support know as well.
Important Information About Access Lists:
- Synchronization with Events: When a ticket is scanned via the access list, it will be marked as "scanned" in the event as well. However, the reverse does not apply, so if a ticket is scanned directly at the event, it will still be valid in the access list.
- Adding new ticket types: If you add a new type of ticket to the event, you must also inform our support team so they can manually add it to the access list. The system does not automatically link newly created tickets to existing lists, and this includes invitations tickets and guest lists.
- Effortless synchronization: When our support team adds news tickets from any tiers to the access list upon your request, it will promptly be synchronized with the Shotgun Scan App automatically, ensuring that all tickets are updated and ready for scanning.
- Tickets from different organizers and events: You can add tickets from other organizers to the access lists, allowing greater flexibility in event management. In the case of events with cohostings or partnerships that are also using Shotgun, this can be very useful.
Where is it and how to use Access Lists?
When you open the Shotgun Scan app and log in, you should select the Lists tab just above the right side of your view and choose your list by clicking "Read tickets." As indicated by the order below:
Once that's set up, simply scan the tickets as usual, and they will be validated without any issues. The process will work just like scanning tickets through the standard event access.
