This article explains how to invite your colleagues to collaborate on the Smartboard.
Members & Roles
Each person invited to a Smartboard workspace is called a Member. Each member has a dedicated role and different associated rights. The available roles on Shotgun are admin, editor, and viewer.
The admin role
The administrator is the member who created and owns the workspace.
There is only one admin per workspace, and an admin can only be the admin of one workspace.
The editor role
Editors can do everything on the Smartboard except edit banking settings.
The viewer role
Viewers can see everything on the Smartboard but cannot perform any action.

Invite a member
To invite a member:
- Visit Settings > Members
- Enter the member email address & select the role
- The member will receive an invitation by email
- The member must click on the email link and create their account to join the workspace
Revoke member access
If you want to revoke access to a member from your workspace:
- Visit Settings > Members
- Click on Remove member
- Confirm the removal
Once revoked, the member no longer has access to the workspace.
Workspaces
You can easily switch from one Smartboard workspace to another if you manage different brands.
Once your email address is added as a member to different workspaces, you can switch between them from the top right of the interface.
Create a new workspace
Once logged in on the Smartboard, if you wish to create a new Smartboard workspace to throw events under a different brand, click “Create new workspace” at the top right of the interface.
ℹ️ You can only be the admin of one workspace. If you're already an admin of a workspace, you won't see the "Create a workspace" option.
Scan & Drawer app authentication
To authenticate on the Scan and Drawer apps, you need to use either the admin credentials or the Scan & Drawer credentials (learn more).
ℹ️ The members' credentials don’t work on the scan and drawer apps.
FAQ
How can I transfer the admin rights of a workspace?
To transfer the admin rights of a workspace, log in to the Smartboard using the admin credentials and change the admin email address.
ℹ️ If the admin is a member of multiple workspaces, their access will also be transferred to the new admin. If you don't want the access to be transferred, you need to remove the member from the other workspaces.
