In order to facilitate the scanning of tickets at the entrance of the events, it is possible to import tickets purchased from another ticketing platform into Shotgun. This will allow you to transform an external ticket into one that can be scanned through the Shotgun Scan app, also counted in the event's maximum gauge and accounting.
To do this, you will first need to go to the event edition page on the Smartboard, then click on Ticket Listing > Tickets on the left drop down menu to access the ticket setup space. Now click on Actions, then Import tickets (.csv) to access the import options.
To import banknotes from external distributors, import your CSV file. To avoid any formatting errors that could cause an error when importing, we advise you to use LibreOffice, available free of charge, to edit your file. The easiest way to do this is to download the template by clicking on Or Download this template to get started (the file is also available as an attachment at the bottom of this article).
It's important to note that imports can fail for a number of reasons:
- The file has been exported in the wrong format (.XLSX or .Numbers file instead of .CSV) prior to import into Shotgun.
- The software used to create or modify the file is not the correct one, which can lead to corruption (use of Excel or Numbers instead of LibreOffice).
- The file contains missing, unsuitable or incorrectly positioned information (wrong column title, data in an unused column, no barcode, etc.).
- The file has been imported into the wrong place on the Smartboard (contact or invitation file used to import vending machine tickets).
When opening the file with LibreOffice, simply click on OK in the bottom right-hand corner without modifying any of the proposed parameters:
The file to be imported in the case of an unsupported distributor (or Shotgun) must respect the following form, otherwise the risk of error during import will be almost systematic:
As mentioned above, you must not modify the first row or add any additional columns, but only complete the corresponding columns with the information relating to the tickets to be imported. Creating or modifying the file you wish to import with software such as Excel, Numbers or Google sheets can totally corrupt it, and the import will most likely fail. If your data is in another file (.CSV or .XLSX for example) instead of LibreOffice it is preferable to copy and paste it into the corresponding columns within the template, rather than trying to modify or convert your initial file.
Once all these steps have been completed, you can import your file into Shotgun by following the steps outlined above. Once imported, your tickets will now appear on your Smartboard as Distributor tickets, as follows:
These tickets will then be scannable just like a classic Shotgun ticket, using the same QR code as the one used by the customer at the time of purchase (even if from another ticketing service).
