What are Access Lists?
Access Lists are a way to combine different types of tickets (from the same event or different ones) by the same organizer into a single digital list. This feature is extremely useful for managing the scanning of tickets that need to be validated more than once, whether across multiple events or different entrances.
Here are some examples of how they can be used:
⏳ Multi-day events: Create an access list that includes all tickets for each day of a festival, making it easier to manage participants with valid tickets for one or multiple days.
🔢 Passport tickets valid for more than one day: Use access lists to rescan tickets sold as passports, which may cover previous events or multiple days of a festival.
🚪 Managing different entrances: Create an access list by entrance or by team to optimize the entry process.
Access lists are created by our support team. Whenever you need one, please contact us through this link HERE, providing the specific tickets and batches that should be included in the access list.
Important Information About Access Lists:
Event synchronization: When a ticket is scanned via an access list, it will also be marked as “scanned” in the event. However, the opposite is not true: if a ticket is scanned directly in the event, it will still remain valid in the access list.
Adding new ticket types: If you add a new ticket type to an event, you must also inform our support team so they can manually add it to the access list. The system does not automatically link newly created tickets to existing lists, and this includes complimentary tickets and guest lists.
Effortless synchro: Once our support team adds new tickets to the access list at your request, it will immediately sync with the Shotgun Scan App automatically, ensuring all tickets are updated and ready for scanning.
Tickets from different organizers and events: You can add tickets from other organizers to your access lists, allowing greater flexibility in event management. This can be especially useful for events with collaborators or partners who are also on Shotgun.
Where to find and how to use Access Lists?
When you open the Shotgun Scan app and log in, select the Lists tab at the top right of your screen and choose your list by clicking Scan tickets as shown below:
After that, simply scan the tickets normally, and they will be validated without any issues. The behavior is the same as scanning tickets through regular event access.
If you have any questions about how to use the scan feature, we recommend checking out our Shotgun Scan User Guide GB 👈🏽.
