Send invitations

With Shotgun, you can easily create and send invitations from one place, keeping every invitation tracked in your event. A Shotgun invitation is a free ticket with a unique QR code that you can send to any guest.

💡 : Invitation vs. Guestlist — An invitation sends a PDF ticket with a QR code directly to the guest, while a guestlist is simply a checklist available in the Shotgun Scan app — no ticket is sent.

Send invitations

Step 1: Create an invitation

1. Open your event from your dashboard.
2. Go to Ticket listing > Invitations tab.
3. Click Create an invitation (upper-right corner).
4. Fill out:
   • Name — invitation type name shown on the ticket
   • Description — context or perks
   • Image — appears on the PDF ticket
   • Category — link to an existing category or create a new one
   • QR code validity — last valid scan date

Step 2: Add recipients

Click Add guests and choose a method:

• Manual entry — add First name, Last name, and Email (adjust quantity if needed)

• CSV import — upload a .csv file with your guest list

⚠️ You can send up to 500 invitations per event. Need more? Contact our support team.

Step 3: Send invitations

1. Review each guest’s ticket quantity.
2. Click Send invitations.

What guests receive

Each guest receives an email containing:

• Their ticket(s) as a PDF attachment
• A link to add tickets directly to Apple/Google Wallet

💡 If a guest already has a Shotgun account, they’ll also find the invitation in their app.

How to cancel invitations

You can delete invitations from Ticket listing > Invitations tab.

💡 If an invitation has already been sent, this will invalidate the QR code.
