Planning an event rarely happens alone, and that’s exactly why Shotgun lets you add a cohost. It’s a simple way to share the workload, whether you need help updating your event page, managing ticketing, or monitoring sales.
Before continuing, let’s look at what each role allows so you can choose the right level of access.

Roles and permissions
When inviting a cohost, you can assign one of two roles: Viewer or Editor.
Each role defines what your collaborator can see or do.
Co-hosts don’t have access to the Banking section. All ticketing revenues can only paid out to the main event organizer.
👀 Viewer
This role offers read-only access, perfect for someone who just needs visibility on your event.
Can: View event overview
Cannot:
Edit event details
Add or modify tickets
Manage payouts or ownership rights
💡 Choose this role to let someone monitor the event’s performance without the risk of unintended changes.
✏️ Editor
This role grants broader permissions, ideal when you’re co-running the event.
Can:
Edit the event page (title, visuals, description)
Modify tickets and pricing
Track sales and attendees
Manage access lists
Resend collaborator invitations
Cannot:
Delete the event
Modify payout or financial information
Add or remove other cohosts
💡 This option works best if your collaborator needs to regularly update the event or manage operational details.
What about contacts?
When an event is co-hosted, buyers are automatically added to the contact lists of both the editor and the viewer.
⚠️ To ensure all buyers are added to the co-host’s community, the co-host invitation must be sent before the first ticket sale. Contacts are not retroactively shared.
This means that each co-host can build their own audience from the same event.
💡 Co-hosting is a strong lever to grow your community and activate it after the event:
- Collect more qualified contacts from a shared audience
- Create segments based on these contacts
- Use those segments to launch targeted ticket offers or marketing campaigns 👉 Create and use segments
- Increase the reach and impact of your future communications and events
Add a cohost
⚠️ The person you invite must already have a Shotgun Organizer account. If not, they’ll need to create one first.
To add a cohost:
Go to your Event Dashboard.
Click Settings > Manage cohosts.
Select Invite cohosts
Search for the cohost name.
Choose their role (Viewer or Editor).
Click Send invitation.
They’ll receive an email notification, and once accepted, the event will appear in their Dashboard.
💡 You can edit or remove cohosts at any time.
What fan sees
Both you and the co-host are visible on the event page for fans.
💡 When the event is published, a notification is sent to both your community and the co-host’s community. This significantly boosts the event’s visibility from day one, with no extra action required on your side.
