Managing your event capacity helps you stay in control of how many attendees can access your event. Whether you want to cap sales globally, by ticket category, or simply understand how capacity is calculated, this article walks you through the logic step by step.

How your event capacity is calculated
By default, the global event capacity is calculated automatically.
It corresponds to the sum of all ticket quantities put on sale, based on the quantities you defined when creating each ticket.
For example:
- Ticket A: 100 available
- Ticket B: 50 available
Your default event capacity is 150 tickets.
💡 If you use group tickets, keep in mind that each group ticket counts for the number of entries it represents. This can impact how quickly your event capacity is reached. More infos 👉 Create group tickets
At this stage, there is no global limit other than the quantities set on each ticket. If you want more control, you can apply additional capacity limits.
How to limit your event capacity
You can limit capacity at two different levels, depending on how granular you want your control to be:
- At the ticket category level
- At the event level
These limits work independently from individual ticket quantities.
1. Limit capacity by ticket category
Limiting capacity by category is useful if you want to cap sales for a specific audience or offer, regardless of how many tickets exist inside that category.
To set a category capacity:
- Go to the Ticket listing
- Create a new category, or click on the “…” of an existing category
- Select Advanced options
- Define the Category capacity
Once this limit is reached, all ticket sales in this category stop automatically, even if some tickets inside the category still have available quantities.
⚠️ Incorrectly configured capacities can sometimes temporarily block your sales and make your event appear sold out. To better understand this situation, see 👉 My event is showing as sold out, but tickets are still available. Why?
2. Limit the global capacity of your event
You can also define a maximum capacity for your entire event.
To do this:
- Go to the Ticket listing
- Set a value in Event Capacity
This creates a hard limit for your event. When this number is reached, all ticket sales stop, regardless of ticket or category availability.
💡 For both category capacity and event capacity, you can decide whether invitations should be counted. This choice depends on how you manage guests, partners, or internal attendees.
