Promotional vs practical emails
Before starting, let’s look at the two email types you can send on Shotgun. Each one serves a different purpose, and using the right one ensures compliance and better performance.
Promotional emails
For announcements, news, and event marketing.
đź’ˇ Sent only to contacts who opted in (those who selected Receive news when they followed you or bought a ticket).
Practical emails
Sent to ticketholders to share essential event information: access details, lineup changes, and last-minute updates.
⚠️ Practical emails must not be used for marketing. Misuse may lead to account suspension.
Send a newsletter
Step 1: Create your campaign
From your Smartboard, choose one of the two paths:
Go to Marketing > Campaigns
Or from your event dashboard: Event > Promote > Campaigns
Then click Send email.
Step 2: Select your audience
Choose Promotional email.
Then pick who you want to reach:
All my contacts send to your entire subscriber base
Contacts from a segment target a specific audience

Step 3: Design your newsletter
Now let’s bring your email to life ✨

Add a subject line, then use the drag-and-drop builder to insert:
Titles and text blocks
Images and buttons
Video embeds
HTML blocks for advanced customization
đź’ˇ You can also use the integrated AI to improve your content: generate visuals, correct wording, change tone, and more.
đź’ˇ Remember to preview your email on different devices to make sure it looks great everywhere.
Step 4: Test and send
Before you hit send:
- Click Send test to preview it in your inbox
Double-check formatting, links, and personalization
When you’re ready, choose how to send your campaign:
Send now > Confirm
Schedule > Select date & time > Confirm
Step 5: Monitor your campaign
Once your email is sent, you can track its performance right from your Smartboard.
Go to Marketing > Campaigns.
You’ll see key metrics such as:
Delivered — number of emails successfully sent
Open rate — percentage of opened emails
Click rate — number of link or button clicks
Revenue — sales generated from your email
